Retreat Terms & Conditions

Please read these terms carefully before submitting your application. By applying to and booking a Time Fixes Everything (TFE) Retreat, you agree to the terms below. These terms form the agreement between you (“the Guest”) and TFE Retreats / CLICÖT (“we,” “us,” or “the Organizer”).
1. Application & Approval
All TFE Retreats are application-based. Submitting an application does not guarantee a place. Each application is personally reviewed, and approval is at the sole discretion of the Organizer. Approved applicants receive a secure link to confirm their spot with a deposit. A place is only reserved once the deposit has been received.
2. Deposit
A non-refundable deposit of CA$500 is required to secure your place on a retreat. The deposit confirms your commitment, holds your spot, and is applied toward the total retreat price. Because places are limited and held exclusively for you once paid, the deposit is non-refundable and non-transferable except where expressly stated in these terms.
3. Balance & Payment Schedule
The remaining balance is due according to the schedule provided at the time of approval, and in all cases no later than 60 days before the retreat departure date. Payment options, including pay-in-full and financing/installment plans, are offered where available and communicated to approved guests. Retreat pricing varies by destination and is confirmed in writing before booking.
If the balance is not paid by the due date, the Organizer reserves the right to release your place, and any amounts already paid may be forfeited.
4. What’s Included
Unless stated otherwise for a specific retreat, the retreat price includes accommodation for the retreat dates, meals as described in the retreat details, group excursions and activities listed in the itinerary, and the facilitated retreat programming. The specific inclusions for each retreat are confirmed in writing before booking.
5. What’s Not Included
The retreat price does not include airfare, airport transfers (unless expressly stated for that retreat), travel insurance, passport or visa fees, personal expenses, gratuities beyond those specified, or any activity not listed in the retreat itinerary. Guests are responsible for booking and paying for their own flights and for arranging their own transfers where transfers are not included.
6. Travel Documents & Insurance
Guests are solely responsible for ensuring they hold a valid passport and any visas, vaccinations, or entry documents required for the destination. We strongly recommend, and may require, that every guest purchase comprehensive travel insurance that includes trip cancellation, medical coverage, and emergency evacuation. The Organizer is not responsible for costs arising from inadequate documentation or lack of insurance.
7. Cancellation by the Guest
All cancellation requests must be made in writing. The deposit is non-refundable in all cases. For amounts paid beyond the deposit:
- 90+ days before departure: amounts paid beyond the deposit are refundable, less any non-recoverable third-party costs already committed on your behalf.
- 60–89 days before departure: 50% of the retreat price (excluding deposit) is refundable, less non-recoverable costs.
- Fewer than 60 days before departure: no refund is available, as costs have been committed to accommodation, activities, and suppliers.
Where permitted by our suppliers, we will make reasonable efforts to allow you to transfer your place to another approved guest or apply your payment to a future retreat, but this is not guaranteed. Because travel is involved, this is another reason we strongly recommend travel insurance with trip-cancellation coverage.
8. Cancellation or Changes by the Organizer
A minimum number of confirmed guests is required for each retreat to proceed. If a retreat does not reach its minimum, or if circumstances beyond our reasonable control prevent it from taking place, we may cancel or reschedule. In that event, you will be offered a transfer of your full payment (including deposit) to a rescheduled or alternative retreat, or a refund of amounts paid to us. The Organizer is not responsible for any other costs you may have incurred, such as flights, insurance, or time off work.
9. Health & Fitness to Participate
Retreats may include travel, activity, and emotionally engaging group work. By booking, you confirm that you are in suitable physical and mental health to participate and that you have disclosed any relevant condition that may affect your participation or require support. TFE Retreats are not a substitute for medical or psychological treatment. If you are receiving care, please consult your provider before attending.
10. Code of Conduct
TFE Retreats are built on respect, confidentiality, and safety. Guests agree to treat one another, staff, facilitators, and hosts with respect, to honor the confidentiality of what is shared during the retreat, and to follow reasonable instructions from the Organizer. We reserve the right to remove any guest whose conduct endangers or seriously disrupts the experience of others, without refund.
11. Assumption of Risk & Liability
Travel and retreat activities carry inherent risks. To the fullest extent permitted by law, the Organizer is not liable for any injury, illness, loss, damage, delay, or additional expense arising from events outside our reasonable control, including the acts or omissions of third-party suppliers (airlines, hotels, transport, excursion providers). You participate voluntarily and assume responsibility for your own wellbeing and belongings throughout the retreat.
12. Photography & Media
Photos and video may be taken during retreats for TFE’s own use, including marketing and social media. If you do not wish to appear in such material, please notify the Organizer in writing before the retreat, and we will make reasonable efforts to accommodate your request.
13. Force Majeure
We are not responsible for failure to perform, or delays, caused by events beyond our reasonable control, including natural disasters, extreme weather, pandemics, government action, travel restrictions, strikes, or supplier failure. In such cases we will act in good faith and follow the approach set out in Section 8 where possible.
14. Governing Law
These terms are governed by the laws of the Province of Quebec and the applicable laws of Canada. Any dispute will be handled in the courts of Quebec.
